Accounts Payable Specialist
POSITION PURPOSE:
The position reports to the Treasury Manager. Primary duties include A/P processing, expense report processing, check deposits, and general administrative support for the department.
ESSENTIAL FUNCTIONS:
Accounts Payable Transaction Processing
Open daily mail promptly, scan invoice, email to proper personnel for approval, and follow up afterwards.
Review invoices as well as check request before entering invoices on daily basis.
Process A/P checks, wire transfers and ACH payment on a timely manner.
Monitor vendor accounts to ensure payments are up to date.
Clear checks in Dynamics SL in a timely manner.
Correspond with vendors, respond to vendor inquires and resolve invoice discrepancies.
Maintain vendor file as well as other A/P reports/documents in a timely and orderly manner.
Expense Report Processing.
Review closely to ensure the expenses are properly approved and supported by receipts or other documentation.
Process the expense report in a timely manner on a weekly basis.
Customer Deposits Processing.
Deposit customer check and process credit card charge on the same day it is received.
Process cash receipts promptly, ensuring deposits are properly coded.
Clear deposits within Dynamics SL in a timely manner.
Respond to enquiries concerning specific customers.
Maintain deposited check as well as cash receipts reports/documents in a timely and orderly manner.
Month End/Year End Processing.
Assist at the month end and year end closing process in AP area.
Assist in the annual audit in AP area.
Review 1099 records and process Form 1099 annually.
Other responsibilities as assigned, including:
• Enter journal entries into general ledger for various companies.
Assist in reconciliation of bank accounts.
Assist in reconciliation of inter-company accounts.

A high school education with a college level accounting course is desirable
Previous accounts payable experience is required
Knowledge of accounts payable, general accounting procedures
Proficiency with AP module of Microsoft Dynamic SL application
Proficiency with Excel, Word and other PC based general application
Language Skills.
Ability to read, write and comprehend simple instructions, short correspondence and memos
Ability to effectively present information in one-on-one and small group situations
Reasoning Skills.
Ability to common sense understanding t carry out detailed written or oral instructions
Ability to deal with problems involving a few variables in standardized situation
